Privacy Policy

This Privacy Policy describes how Master AI LLC, a New York limited liability company doing business as Prospectify (“Prospectify,” “we,” “us”), collects, uses, and shares information when you use the Prospectify platform (the “Service”). It supplements our Terms of Service; capitalized terms have the meanings given there.
1. Information We Collect
- Account information — your name, email address, and password (stored as a salted hash), plus organization details such as company name, industry, and branding. You may optionally give us a phone number; it is never required to sign up or to use the Service.
- Text-message consent records — if you opt in to text messages we record the number, the date and time, your IP address, and the exact consent wording you were shown, as evidence of consent. See Section 5.
- Customer Content — the materials you upload or connect to generate proposals: templates, pricing, service descriptions, meeting recordings and transcripts, briefs, and past proposals. You own this content.
- Proposal activity— events on proposals you send (views, signatures, payments), including the viewer’s IP address and browser information, which form the signature audit trail.
- Terms acceptance records — when you accept our Terms of Service we record your user ID, email, the ToS version, your IP address, and a timestamp as evidence of electronic acceptance.
- Payment information — subscription payments are processed by Stripe; we do not store full card numbers. Payments you collect from your own clients settle to your own Stripe account.
- Usage data — log and device data such as IP address, browser type, and pages visited, used to operate and secure the Service.
- Cookies and advertising data — our public marketing pages and the signed-in application use cookies and similar technologies, including the Meta (Facebook) Pixel, which shares information about your visit with Meta. See Section 4 for details and how to opt out.
2. How We Use Information
- To provide, maintain, and improve the Service.
- To generate proposal drafts with artificial intelligence from the content you provide. Voice-and-tone training from your past closed-won proposals is scoped to your workspace; your content is not used to train models shared with other customers.
- To send transactional email such as proposal notifications, billing receipts, and renewal reminders.
- To contact you by text message about your account, and — only if you separately opt in — about our products and offers, as described in Section 5.
- To process subscription billing and prevent fraud or abuse.
- To respond to support requests.
- To measure our advertising and marketing — understanding which ads and pages lead people to sign up, and showing our ads to people on other platforms. This use relies on the technologies described in Section 4.
- To comply with legal obligations.
We do not sell your Customer Content, and we do not sell personal information for money. However, using the advertising technologies in Section 4may be considered “sharing” personal information for cross-context behavioral advertising, or a “sale,” under some state privacy laws. You can opt out at any time as described in that section.
3. How We Share Information
We share information with service providers that help us run the Service — hosting and database infrastructure, AI model providers, Stripe for payments, email delivery providers, and customer relationship tools — each bound to use it only to provide their service to us. We also share limited website-activity information with advertising platforms as described in Section 4; unlike our service providers, those platforms may use it for their own purposes. We may also disclose information if required by law, to protect our rights, or in connection with a merger, acquisition, or sale of substantially all assets.
4. Cookies, Analytics, and Advertising
Essential cookies. We set cookies that are necessary to run the Service — keeping you signed in and protecting your session. These cannot be turned off without breaking the Service.
Advertising technologies. Our public marketing pages and the signed-in application include the Meta (Facebook) Pixel. It sets cookies and sends Meta information about your visit, including your IP address, browser and device information, the pages you view, and these events: viewing a page, beginning workspace setup, and completing account registration. We use this to measure which advertising brings people to Prospectify and to show our ads on Meta platforms. Meta may combine this information with data it already holds about you and use it under its own privacy policy.
What we never send to advertising platforms. We do not send Customer Content, proposal contents, pricing, client names, meeting recordings, or transcripts. The pixel does not run on the public proposal pages your clients visit to view and sign a proposal, so recipients of your proposals are not tracked for our advertising.
How to opt out. You can block or delete cookies in your browser settings, use a tracking-blocker or privacy-focused browser, or adjust your Meta ad preferences. Blocking these technologies does not affect your access to the Service. You may also email us at support@prospectifyai.com to request that we stop sharing your information for advertising.
5. Text Messages
Giving us a phone number is optional and is never a condition of signing up or of using the Service. We use a number you provide to contact you about your account and support requests.
We only send you marketing or sales text messages if you separately check the text-message consent box at signup or in your profile. That opt-in is independent of accepting our Terms of Service, and declining it changes nothing about your account. When you opt in, we store the number, the date and time, your IP address, browser information, and the exact wording of the consent you were shown, so we can prove what you agreed to. Message frequency varies, and message and data rates may apply.
You can withdraw consent at any time by replying STOP to any message, by clearing your phone number in your profile, or by emailing support@prospectifyai.com. Reply HELP for help. We keep the consent and withdrawal records after you opt out, because they are the evidence that we handled your consent correctly. Phone numbers and consent status are shared with the customer relationship tool we use to manage our own sales follow-up, as described in Section 3. We do not sell phone numbers, and we do not share them with advertising platforms.
6. Data Retention
We retain your information while your account is active. Trial data is preserved for thirty (30) days after a trial ends, and after termination we make your proposals, signatures, and audit logs available for export for thirty (30) days, after which we may delete Customer data in the ordinary course. We may retain records reasonably necessary to comply with law and defend against claims, including signature audit trails and terms-acceptance records.
7. Security
We maintain commercially reasonable administrative, technical, and physical safeguards for your information, including encryption in transit, hashed passwords, and encrypted signature data. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
8. Your Rights
You may access and update your account information in the dashboard, export your proposals and audit logs, and cancel your subscription at any time. Depending on where you live, you may have additional rights under applicable privacy laws — such as requesting access to, correction of, or deletion of your personal information, or opting out of targeted advertising and the sharing described in Section 4. We will not discriminate against you for exercising these rights. To exercise these rights, contact us at support@prospectifyai.com. If your information appears in a Prospectify customer’s content (for example, in a meeting transcript), we will refer your request to that customer and provide reasonable cooperation.
9. Children
The Service is a business tool and is not directed to anyone under eighteen (18). We do not knowingly collect personal information from children.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the Service before they take effect. Your continued use of the Service after the effective date constitutes acceptance of the updated policy.
